Montpelier Alive’s 2023 July 3rd Parade Application to Participate, Rules and Requirements

**Hard Copy application for parade applicants who will not fill out a Google form**

DATE: July 3, 2023

CHECK-IN: No Later than 5:00 PM at Parade Booth on the corner of Elm & Spring Streets.

ASSEMBLY: 4:00-6:00 PM in the Meadow Staging Area

LINE UP, MAP & INSTRUCTIONS will be emailed upon approval of your application. Applicants will be notified by June 15, 2023 whether their application has been approved.

START TIME: 6:15 PM, Immediately following the Montpelier Mile Road Race.
ROUTE: From the Meadow to Spring Street, to the roundabout on Main Street; down Main to

State Street; proceeding down State Street past the State House, ending at 133 State Street.

PARKING: We recommend participants park at Montpelier High School and carpool downtown. Final Parade instructions may include additional parking alternatives.

APPLICATION DEADLINE: Friday, June 9, 2023. This is the FINAL entry date. No other entries will be accepted after this date.

Montpelier Alive celebrates diversity, and we are committed to celebrating our community and all its people. We warmly welcome parade participants, vendors, and performers that represent diverse voices and bring new perspectives to our event.

PLEASE NOTE: Applications must be completed and received in the Montpelier Alive office (located in City Hall, 39 Main St, Montpelier, VT 05602) on or before June 9, 2023. Submission of an application does not guarantee entry into the parade. Applicants will be notified by June 15, 2023 whether their application has been approved. Decisions about participation in the parade will be made by Montpelier Alive as a means to ensure a reasonable parade duration as well as alignment with the tone and tenor of the day.

The Montpelier Independence Day Celebration Committee has a ZERO TOLERANCE for animal abuse. All animals shall be treated humanely. Persons abusing animals shall immediately be removed from the route and be reported to the authorities. All livestock shall be in good health and sound condition. People must clean up after their animals. Breach of this part of the contract will result in a $100 fine, which will be donated to the Central Vermont Humane Society.

In an effort to encourage creative, entertaining and fun parade entries, a $25 fee will be administered to “walk and wave” entries. You will not be charged a “walk and wave” fee if your entry contributes to the overall entertainment factor of the parade. An example of a “walk and wave” entry is a group of people holding a banner or signs and simply walking and waving at the crowd while marching in the parade. Parade entrants are encouraged to reach out to the parade coordinator ([email protected]) if they have any questions regarding their entry status or how to make their entry more entertaining in order to avoid the $25 fee.

REQUIREMENTS OF PARTICIPATION:

By applying for entry into the parade, applicants agree to abide by all of the following and to follow all verbal instructions from police and parade officials on the day of the parade or be barred from the parade. Montpelier Alive reserves the right to remove any entry from the parade either prior to assembly, while assembling or any time during the parade for failure to abide by these requirements.

1. All parade entries must be appropriate for a younger audience. An entry may not include images or content that include nudity, profanity, lewdness, illegal drugs, alcohol, violence, obscenity, hate or racism; or that is vulgar or sexually explicit, insulting, or offensive to any ethnic, religious, political or other identified group or organization, as determined by parade officials.

2. Participants may not invite or encourage attendees to enter the parade route.
3. Drivers of motor vehicles must have a valid driver’s license at the time of the parade.

4. Drivers of motor vehicles must remain with the vehicle at all times and shall have view or communication with riders.

5. Trucks/floats/vehicles must have a minimum of 2 spotters on the ground for a car or pickup truck, and 4 spotters for a large truck, trailer or float.

6. Any riding participants shall have a means to prevent falling from the unit.

7. Riders are to remain on float once the parade begins and at all times when the float is in motion.

8. Children must be under adult supervision and seated at all times. Any entry that includes children must have adequate adult supervision.

9. For safety reasons, parade participants may not throw items to individuals viewing the parade. Candy, flags and approved items may be handed to parade viewers. Paper handouts, flyers, stickers and handbills are not permitted.

10. Participants are responsible for cleaning up after their animals. Violation of this rule will result in a fine and/or removal from the parade.

12. Participants must keep the pace, and are not permitted to make physical stops along the Parade Route. Any performances along the route must be moving or marching.

13. Parade will run rain or shine! Participants should be prepared with sunscreen, hats, and plenty of water.

14. The parade begins at 6:15pm sharp, and it is best to line up early. The parade staging area will open at 4:00pm. All parade participants must check in by 5:00pm and be in line and

be in line and ready by 5:30pm.

With full knowledge of the risks involved, Parade Participants hereby release, waive, and discharge Montpelier Alive, its board, officers, independent contractors, affiliates, employees, representatives, successors, and assigns from any and all liabilities, claims, demands, actions, and causes of action whatsoever, directly or indirectly arising out of or related to any loss, damage, injury, or death, that may be sustained related to COVID-19 while participating in any activity. Parade Participants agree to indemnify, defend, and hold harmless the Organization from and against any and all costs, expenses, damages, lawsuits, and/or liabilities or claims arising whether directly or indirectly from or related to any and all claims made by or against any of the released party due to injury, loss, or death from or related to COVID-19.
